Program Manager

Full-Time Description

The Program Manager is responsible for managing the day-to-day programs and operations of the China Initiative office located on the Fuller Theological Seminary campus in Pasadena, CA. Working daily with the Director of the China Initiative, the Program Manager is part of a two-person administrative team overseeing the China Initiative’s programs on three platforms of partnership with: 1) the mainland Chinese church, 2) mainland, Chinese Christian university professors, and 3) Chinese students, from mainland China, Hong Kong, Taiwan, Malaysia, Singapore, Indonesia, Philippines, North America and elsewhere, who attend classes at Fuller’s Pasadena campus and other campuses. The Program Manager’s duties require skills in financial management, in website creation and maintenance, in database creation and maintenance, in administration of Chinese language degree programs on-line, via polycom, or on the Pasadena campus, in high level correspondence both in English and Chinese, among others. The Program Manager should be an independent worker able to handle manage multiple projects and tasks with consistent success. The Program Manager should exemplify values of hospitality, service, accuracy, timeliness, and confidentiality. Essential Functions

Administration of China Initiative Programs: (70%)

Manage the China Initiative budget and payments for all programs

Plan for and manage funding for and reimbursements of the Director’s travel (including President Labberton’s visits to China)

Design and maintain a website for the China Initiative in connection with Fuller’s larger website and other internal links

Create and maintain a database of seminary programs in Chinese (in North America, East and Southeast Asia)

Administer Chinese language (Mandarin) degree programs on-line and on Fuller campuses

Oversee hospitality (visas, housing, schools for children, stipends, and other matters) for Visiting Scholars funded by the China Initiative

Facilitate student applications for and reception of China Initiative scholarship awards

Arrange for all China Working Group meetings (scheduling, venue, refreshments)

Arrange for conferences and consultations (transportation, venue, housing, meals)

Maintain records of China Initiative fund-raising and development activities

Plan for and coordinate the annual Chinese New Year party among other social events, including quarterly China Initiative Lecture Series and Film Series

China Initiative Office Operation and Coordination: (25%)

Schedule the Director’s daily appointments

Serve as gatekeeper of the Director’s calendar

Write correspondence in English and Chinese on behalf of the Director

Manage the Director’s calendar in connection with other Fuller institutional calendars

Be responsible for all of the Director’s meetings, including scheduling, confirmation with all participants, venue confirmation, technical support, hospitality, and clean up

Welcome and extend hospitality to all guests of the China Initiative, including provision of parking permits, giving directions, parking information and other seminary related information

Process incoming mail to the Director as well as outgoing mail, including expediting overnight mail and hand-delivered mail in person on behalf of the Director when requested

Insure the Director’s prompt response to e-mail inquiries

When needed, handle Director’s incoming calls and redirecting calls as appropriate

Respond to phone inquiries in a timely manner

Organize and maintain China Initiative files and the Director’s files

File the Director’s e-mail with labels

Maintain a clean and inviting space in the Director’s office

Maintain stock of coffee, tea, and other service supplies as well as office supplies

Wash up all service items and areas as needed at the end of the day

Liaison and Representation of the China Initiative (5%)

Serve as a liaison with other campus departments and groups

When requested by the Director, attend meetings, take notes, and take minutes on behalf of the Director

When requested by the Director, serve as the Director’s official representative to a consultation, conference, or meeting on campus or off-campus Requirements

Masters level or higher degree in relevant Christian discipline, for example, MDiv, MAT, ThM, DMin, DMiss, MA Intercultural Studies, MTS, or other kind of degree (required)

3-5 years of education and/or work experience in a Christian academic environment (required)

3-5 years of leadership experience in higher education, cross-cultural education, missiological education, or theological education (preferred)

Familiarity with mainland Chinese people, customs, and politics

Familiarity with the worldwide Chinese community

Familiarity with Christian seminary ethos and networks

Native English and native Chinese (Mandarin) skills in speaking, reading and writing

Masters’ level English writing skills

Masters’ level Chinese writing skills

Excellent ability to create and maintain a website for the China Initiative, linking this website with Fuller’s larger website

Excellent ability to create and maintain a database

Excellent ability in Microsoft Office, including Word, Excel, and PowerPoint

Excellent ability in on-line communication, including Facebook, Twitter, LinkedIn, Google Apps and more

Advanced familiarity with computer, IT, and polycom equipment for Chinese degree programs on-line and other programs

Strong and proven financial and accounting abilities

Advanced analytical and problem solving skills

Detail-oriented organizational skills

Cross-cultural sensitivity and communication skills

Willing to be motivated by the Director’s goals, interests, and concerns for the China Initiative

Desire to work collaboratively with the Director and to follow directions

Able to relate personally and well with administrators, faculty, staff, and graduate students Special Requirements

This position is subject to a background and credit check
