System Administration and Database Internship

BACKGROUND


The ASEAN Foundation was established in December 1997 by ASEAN Foreign Ministers in fulfillment of the decision of the ASEAN Leaders. It is a non-profit ASEAN body under the ASEAN Charter and is mandated to promote greater awareness of ASEAN and greater interaction among the peoples of ASEAN, as well as their wider participation in ASEAN activities.

GENERAL OBJECTIVE


The ASEAN Foundation seeks a system administration and database intern to strengthen its IT infrastructure and information system of the organisation. Under the supervision of a Programme Officer and with guidance from the Executive Director, the intern will support the maintenance of the IT infrastructure and support the information and knowledge management of the ASEAN Foundation.


This internship will allow the intern exposure to professional programming and database experience in a not for profit environment.


TASKS OF THE INTERN


System Administration


•Maintaining and enhancing code repositories and related systems

•Monitoring, testing and improving back‐up procedures and file server

•Administering a commercial, Linux‐based NAS (FreeNAS)

•Documenting procedures as they are created and refined

•Troubleshooting various hardware and sofware in the office and at home offices

•Maintaining work stations and ensure reliability and security

•Improving existing systems and procedure

•Creating and maintaining user accounts, as well as e‐mail accounts


Database Management


•Support reporting processes based on the performance of individual projects/programmes and agreed outcomes, outputs, indicators

•Clean up and maintain the web-based data of projects/programmes

•Ensure updates related to the database of alumni scholars from the ASEAN Foundation’s Scholarship Programme, Reporting ASEAN 2015 and Beyond Programme, etc

•Support and initiate the development of graphs to illustrate accumulated data for reports and presentations to stakeholders.


EXPECTED OUTPUTS / DELIVERABLES


•An office systems administration that is efficient in order for staff to work productively and safely.

•Database that contain information that is regularly updated


EXPECTED OUTCOME


•General understanding of the work and mission of the ASEAN Foundation

•Insight and hands-on experience in system administration

•Insight and hands-on experience in web-based data management


QUALIFICATIONS AND SKILLS


•Currently enrolled in an undergraduate (3rd and 4th year) or Master’s degree in information technology, information systems, management information systems or computer science.

•Familiar with Server Operating Systems such as: Windows Server 2008/2012 and Linux CentOS/Fedora.

•Experience with troubleshooting Microsoft Windows Operating System, Microsoft Office suites and Local Area Network (LAN) problems.

•Experience with database (MySQL/SQLite and MS Access) creation and management is highly desirable.

•Experience with development of graphs and charts in Excel and Power point would be an asset.

•Excellent research, writing and organizational skills as well as attention to detail.

•Able to work independently to meet deadlines.

•Punctual and hard working in a business environment.

•Able to work in a group situation with other team members.

•Good written and oral communication skills in English.


TIME FRAME


Position open until filled, requires 3 – 6 month commitment. Available to work 8 to 10 hours a week


REMUNERATION


The internship is voluntary and unpaid.

The ASEAN Foundation will refund your public transportation in Jakarta.
