Job Description
JOB PURPOSE
To provide appropriate, timely and professional human resources management to ensure that all staff working for CHAI are processed for payroll, insurance and jamsostek-BPJS are managed properly and to manage HR filling system, HR database are developed and updated regularly and to support the implementation of HR policy and procedure for both national and international staff.
KEY RESPONSIBILITIES
• Develop, update and maintain HR database system in most up to date manner with proper information on band, base salary, location, family information, bank information etc that enable to provide summary report as required by Indonesia Program.
• Ensuring that all CHAI national staff has a proper employment agreement with all supporting document are recorded and maintained as required and it should in line with prevailing law and regulation.
• To conduct timely and accurate payroll process in line with prevailing procedure and at all times operate with integrity, assuring the confidentiality of information and maintaining records and keeping them secure.
• Calculate income tax of all local employees in Indonesia Program, pay to the bank, report to the tax bureau on monthly basis to avoid any penalty may be applied as a result of payment and report delay and give explanation to the employee if requested.
• Together with finance department ensure that the monthly and annual tax payment is reconciled between HR and Finance records.
• To conduct timely and accurate Jamsostek-BPJS in line with prevailing procedure and pay on time on monthly basis and report to the Jamsostek-BPJS bureau to avoid any penalty may be applied as a result of payment and report delay
• To ensure that all staff working for CHAI having appropriate medical and insurance in line with prevailing policy and procedure
• Manage medical claim reimbursement in line with CHAI policy and procedure.
• Manage contract renewal for the staff at least two month before the expiry of the contract.
• To ensure HR kits (CPP booklet, company regulation, HR forms, ID cards, HR training material) are available and updated at all time
• Ensuring that relationships with third party are maintained and assuring that all agreement with them are in line with prevailing CHAI regulation
• Prepare monthly HR Headcount incl turn over and Compensation and Benefit report.
JOB SPECISIFICATION:
Education and Experience Background:
Bachelor degree in social major with equivalent experience
Working Experience
3 – 5 years of experience in handling payroll calculation, Jamsostek, Pph21, and related government reporting and hands on in develop and using HRIS
Skills and Knowledge:
• Good understanding about Labour Law and it implementation on payroll management.
• Fair knowledge of tax regulations of the Republic of Indonesia
• Excellent computer skill and ability to build integrated HR information system
• Familiar with the use of Microsoft Office packages such as MS Excel, MS Word and PowerPoint
• Highly developed interpersonal and communication skills both written and oral to establish effective relationships and having diplomacy skill
• proven administration and record keeping ability and attention to detail
• Able to work under minimum supervision with a team work spirit
• Good interpersonal skill, patient, careful and able to work under pressure.
• confidence and good conflict resolution skills
• Willing to work within rules.
