Job Description


International Organization for Migration (IOM) Indonesia is looking for 3 (three) Project Assistant I according to the terms of reference below:


I. POSITION INFORMATION


Reference No : VN/ID10/2015/091
Position title : Project Assistant I (3 positions)
Position grade : General Service Staff / G-4
Base Salary : IDR 9,678,917 per month
Duty station : Jakarta
Type & duration of Contract : One Year Fixed Term Contract (the first three months shall be considered as probation period)
Reporting directly to : National Project Coordinator (NPC)
Overall supervision by : Chief of Mission
Preferred starting date : As soon as possible
Closing date : 25 November 2015


II. ORGANIZATIONAL CONTEXT AND SCOPE


Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all.


Under the direct supervision and overall guidance of the National Project Coordinator (NPC), the incumbent will provide technical and administrative support for the implementation of IOM Indonesia’s Counter-trafficking and Labour Migration on-going projects.


III. RESPONSIBILITIES AND ACCOUNTABILITIES


1. Under the direct supervision of the NPC, assist with the day-to-day operational coordination and implementation of Counter-trafficking and Labour Migration on-going projects components in accordance to the contractual terms of the projects.


2. Under the supervision of and in coordination with the NPC, the incumbent will perform the additional cross-cutting project implementation tasks:


3. Assist to liaise and coordinate with national and international agencies, provincial and local authorities, and relevant other non-state actors to support program objectives;


4. Ensure that all administrative and logistics arrangements for all project activities are carried out efficiently and effectively and that requests for payment due to service providers and local suppliers are accurate and necessary.


5. Undertake monitoring of on-going activities and prepare monitoring reports.


6. Provide input to the NPC to implement the project components and inputs to the progress narrative reports and any other reports and information materials as requested by the NPC.


7. Assist to undertake representational duties in project-related functions (workshops, seminars, coordination meetings, etc.) as required and prepare the draft minutes of any meetings or event attended.


8. Liaise with the Consultant contracted to provide any additional information and documentation to the consultant; and assist in arranging meeting with national and sub-national government and non-government counterparts


9. Ensure meeting minutes and monitoring reports are filed, and that all project files are maintained and kept up-to-date.


10. Undertake in-country duty travel related to project implementation, monitoring, assessment and problem-solving in close supervision and guidance of NPC, as requested.


11. Provide any other clerical assistance (drafting letters of correspondence, etc.) as necessary.


12. Provide translation and interpretation services as required.


13. Perform such other duties as may be assigned.

V. EDUCATION AND EXPERIENCE


a) Indonesian National with good knowledge of, and experience in project implementation and operational.
b) Diploma Degree, preferably in Political/Social Sciences, Law and equivalent combination of training and experience, university degree in this field will be an advantage
c) Minimum four years of experience in project implementation and related field.
d) Have ability to manage workload within general schedule of work, instructions and standard practices.
e) Have ability to work with minimum supervision and maintain composure under pressure
f) Strong liaison and networking skills and experience with state and non-state actors.
g) Strong training experience.
h) Demonstrated ability to work in a multicultural, multi-ethnic environment and to maintain effective working relations with people of different national and cultural backgrounds
i) Well versed in written and oral communication skills in English and Indonesian, including the ability to explain and present technical information; able to draft written documentations in a clear and concise style in both English and Indonesian
j) Proficient in computer applications: Ms-Office : word, excel and PowerPoint.
k) Willing to travel to monitor project activities.


VI. LANGUAGES


Language: Thorough knowledge of English and Bahasa Indonesia
