Our Global Operations team is looking for someone to take on the dual role of Office Manager and Event Production Manager based in Washington, DC — our second largest office out of 22 locations around the world. In addition to office management, you will be responsible for event planning and logistics as well as the development and celebration of our company culture.
As part of our versatile facilities team you will innovate new ways to strengthen our office community. You will also partner with other departments to design and execute outstanding internal and external event experiences. If successful in DC, you will have the opportunity to develop office programming and event production in other cities around the world.
Here’s what you’ll do as part of the team —
Office Management
Own all aspects of DC office operations, including management of our 8,200 square foot facility, day-to-day support for 40+ staff, and supervision of subtenants.
Create the budget, advocate for new resources, plan for changes, monitor spending, and work with Finance on expense reporting.
Coordinate all vendors and service providers, procure equipment, track inventory, and maintain office/kitchen supplies.
Facilitate office improvements, renovations, and furnishing in collaboration with designers and contractors.
Work with IT, building management, cleaning services, and repair professionals to maintain a clean, organized, and high-functioning work environment.
Develop policies and procedures that keep our office safe, professional, and productive.
Be our chief troubleshooter for employees who need support, community builder for the team in DC, and ambassador to the outside world.
Culture & Events
Champion our company’s culture through events and other creative activities.
Utilize our DC facility as a venue for both social and substantive office programming.
Propose, plan, and execute both small and large-scale internal events and support other departments with external-facing events.
Set and manage event budgets, solicit competitive quotes, negotiate pricing, and provide post-event budget analysis.
Research vendors and venues, maintain lists of preferred service providers, and develop a support network of event professionals.
Coordinate legal review of contracts, risk management, and insurance obligations.
Create superb event experiences with tight logistics, attention to detail, and a creative flare.
Travel to other offices and document best practices to improve office programming and event production in other cities.
And here are the skills & experience we hope you have:
Experience with facility operations and managing an office with at least 30 people.
Experience producing parties or events for more than 100 guests and familiarity with DC venues and services.
Comfort with IT equipment and applications as well as telecom and A/V systems.
Superb organizational and project management skills.
Strong interpersonal and written communication skills.
Exceptional problem-solving skills and an eagerness to research and learn new solutions.
