Job Description
International Organization for Migration (IOM) Indonesia is looking for Health Administrative Clerk according to the terms of reference below:
I. POSITION INFORMATION
Reference No: VN/ID10/2015/106
Position title: Health Administrative Clerk
Position grade: General Service Staff / G-3
Base Salary: IDR 7,228,833.- per month
Duty station: Jakarta-Rawabuaya Sub-Office
Type & duration of Contract: One Year Fixed Term Contract (the first three months shall be considered as probation period).
II. ORGANIZATIONAL CONTEXT AND SCOPE
Established in 1951, IOM is the leading inter-governmental organization in the field of migration and works closely with governmental, intergovernmental and non-governmental partners. IOM is dedicated to promoting humane and orderly migration for the benefit of all.
Under the overall supervision of the RCA programme coordinator Java Region in Rawabuaya and direct supervision of SMHP in Rawabuaya, in close coordination with Resource Management Assistant and Finance colleagues for technical guidance, the successful candidate will be responsible and accountable for providing assistance in all aspect of the administrative and financial support for Health Project at the IOM Jakarta-Rawabuaya Sub Office
III. RESPONSIBILITIES AND ACCOUNTABILITIES
1. Receive and check all incoming invoices from suppliers, services providers, and submit document for verify process by health team assistance.
2. Prepare request for payment from process and release duly approved and authorized cash payments and bank transfers to all vendors, contractors and staff, ensuring that signed official invoices/receipts and other supporting documentation is attached to all payment requests;
3. Prepare guarantee letter for services providers in coordination with related unit Maintain cash advance balance of health staff and vendor as well ensuring that all settlements are submitted on timely manner and are accurate
4. Maintain the inventory of medical equipment and supplies for health post in Immigration Detention Center (IDC) Kalideres, Dirjen Imigrasi (DGI) and in the Jakarta-Rawabuaya office
5. Liaise with following :
a. Procurement Unit : maintain liaison with external service providers and assist in b. IT Unit : computer software or hardware problems
6. Ensure data files are organized according to the program filling system and maintain
complete file
7. Assist in the preparation and maintain file of Travel Authorization for staff on approved official trips if needed
8. Coordinate office fleet and drivers to support medical activity
9. Provide clerical assistance as necessary and manage document delivery
10. Perform other duties as may be assigned

V. EDUCATION AND EXPERIENCE
a) Indonesian National with good knowledge of, and experience in project administration, operational and has knowledge and experience in health services is advantage.
b) Diploma Degree and relevant experience in Accounting, Finance, Business Administration, Management or any relevant field.
c) Minimum three years work experience in accounting, finance and budget tracking as well as office administration; in an international organization or any client/service sector, preferably with cross-cultural exposure.
d) Proficient in computer applications: Ms-Office, particularly in MS-Excel, Database and
accounting software program.
e) Proven client/service orientation and experience in liaising with external clients from
various sectors: private, government and international organizations
VI. LANGUAGES
Language: Thorough knowledge of English and Bahasa Indonesia
