Office Coordinator, Helen Keller International-Indonesia
Helen Keller International (HKI) is an international non‐governmental organization whose mission is to save the sight and lives of the most vulnerable and disadvantaged by combating the causes and consequences of blindness and malnutrition. We do this by establishing programs based on evidence and research in vision, health and nutrition. Established in 1915, HKI maintains its Headquarters in New York City, with Regional Offices in Senegal and Phnom Penh to support 22 country offices in Africa and Asia.
Since the 1970s, HKI‐Indonesia has been working to establish sustainable evidence‐based approaches to enhance health and nutrition, improve education for the disabled, and expand access to eye health services for Indonesians, particularly women and children. HKI-Indonesia’s programs are integrated at all levels of the government health and education structures by helping to develop its human resources and infrastructure, conduct needs assessments, analyze local context to inform program design and implementation, capacitate personnel, provide basic equipment and medicines, deliver services if needed, and monitor program progress and evaluate program impact.
Currently, HKI-Indonesia is seeking an Office Coordinator, who will be responsible for supporting operations for a health and education project in Makassar-South Sulawesi.
Based in: Makassar, South Sulawesi
Reports to: Senior Program Coordinator
Staff supervised: (none)
Duration: Up to one year with an opportunity for extension
Overall responsibilities
The Office Coordinator will be responsible for the operational aspects of HKI’s Makassar sub-office, including but not limited to, administration and finance support and government advocacy. He/she will provide assistance to the provincial and district project team.
Responsibilities:
1. Assist the Senior Program Coordinator for improved planning, dissemination and government-level advocacy for the prevention of child blindness initiative by:
• Provision of technical assistance for partners in the development of eye health policy and governance at provincial and district level in order to improve the access to eye health services for children;
• Establishing and maintaining relationships with various stakeholder at provincial and district level, such as: counterpart meeting, follow-up on partnership issues/events;
• Providing data to the Senior Program Coordinator on challenges, opportunities and threats for the sustainability of the project activities;
• Providing workplans, updates and reports on regular basis to the Senior Program Coordinator;
• Representing HKI-Indonesia and Prevention of Child Blindness project at provincial and district level and on related committees in government as needed;
2. Manage the administration, finance and logistics aspects of the project, includes but not limited to orientation, compliance and documentation:
• Recording of necessary administration, finance, and logistics documents in order to comply to HKI-Indonesia regulations;
• Compile monthly financial forecast and report of Makassar sub-office for approval from the Senior Program Coordinator and Senior Program Manager for Eye Health;
• Responsible for all on-site financial transaction upon approval from Senior Program Manager for Eye Health;
• Responsible for the purchase and management of logistics for the office and project, such as: assets, supplies, travel arrangement, communication arrangement;
• Proactively communicate with the team members and counterparts for any issues related to administration, finance and logistics;
3. Perform all the duties related to the programs assigned to and report to the Senior Program Coordinator and the Senior Program Manager for Eye Health.
Qualifications:
• Bachelor or higher degree in the field of social science, health, management, business administration, or other relevant background;
• A team player who can positively and productively impact both strategic and tactical initiatives;
• Having at least 5 years of professional experience working with government;
• Experience working for non-government organization;
• Capacity to be self-reliant, results oriented, and manage multiple tasks;
• Energetic, flexible, collaborative, and proactive in personal characteristics;
• Ensure appropriate confidentiality for internal documents;
• Exceptional English and bahasa Indonesia proficiency for both verbal and written communication;
• Exceptional communication and presentation skills in Bahasa Indonesia;
• Demonstrated ability to convey message through clear and consise writing;
• Ability to travel domestically on short notice.
